The QBO Cleanup Checklist for Busy Business Owners

You don’t need to be an accountant to get your books in order — just a business owner who’s ready to stop letting “good enough” slide.

By this time of year, most entrepreneurs are knee-deep in Q4 chaos — projects, clients, and deadlines piling up — and the last thing on their list is bookkeeping. But here’s the truth: if your books aren’t clean now, you’ll pay for it in December.

Let’s fix that with a quick, focused checklist you can run in under an hour.

🧹 1. Start with the Reconcile Discrepancy Report

In QuickBooks Online, go to Reports → Reconciliation Discrepancy.

If you see anything listed here, it means something changed in an account that was already reconciled — usually because of a deleted or edited transaction.

👉 Fix it: Review those transactions, restore any that were deleted, and lock your reconciled months to prevent future changes.

🧾 2. Review “Uncategorized” Accounts

Every business has them — the junk drawers of your books.

Open your Profit & Loss report and look for:

  • Uncategorized Income

  • Uncategorized Expense

  • Ask My Accountant

👉 Fix it: Assign these to the correct accounts or create a rule to auto-categorize them in the future.

🔍 3. Check for Duplicate Vendors or Customers

Duplicate records cause headaches — and inaccurate reports.

Go to your Vendors and Customers lists. Sort alphabetically and merge any duplicates.

👉 Fix it: Keep the most complete record and merge the rest to prevent confusion down the line.

💰 4. Review Old Open Invoices and Bills

If you’ve got invoices sitting unpaid for months, or bills that never got marked as paid, now’s your moment.

Run A/R Aging Summary and A/P Aging Summary reports.

👉 Fix it: Follow up with clients or vendors and clear out stale balances.

🧮 5. Reconcile Bank and Credit Card Accounts

This is the big one.

Head to Accounting → Reconcile.

Make sure all months up to September are reconciled — no exceptions.

👉 Fix it: If you’re missing months, start catching up now. Reconciling monthly keeps your reports accurate and your stress levels low.

If not, make note of the accounts with issues and block 30 minutes on your calendar this week to fix them.

You’ll end the year with cleaner books, clearer insights, and a lot less stress when tax season rolls around.

💡 Action Step:

Run your Reconcile Discrepancy Report and note any issues.
